Creating School Groups (Field Trip) and Reporting | ParentVUE
Overview
Field Trip permission slips can be limited to grade level, but CANNOT be limited by class or section. However, if there is a mix of students that will be attending a field trip, a school group can be created by clerical staff with the list of students added to it.
1. Opt-In to a SG group. Go to the School Groups screen and find an unused SG group. There are 42 SG groups to choose from. Check the box and click Save.
2. Then open the Groups screen, find the group, and add the students under the Students tab. Click on Chooser in the Currently Assigned Students.
If you have an Excel spreadsheet of the student’s Student ID number, you can copy the IDs and paste them in the Pupil # field to add them all at one time. Click Save when done.
REPORTING - To run a list of parents who have acknowledged the permission slip, elementary schools can run the U-STUD60 Parent Acknowledgement – Elem report. Secondary schools can run the U-STUD61 Parent Acknowledgement – Sec report. All Principals, APs, Clerical Staff, and Teachers have access to run it.
- Type the report name in the Quick Launch box on the SIS side of Synergy.
- Choose the name of the field trip in the Content Name dropdown box.
- Go to the Sort/Output tab and choose Excel. Click Print.
The Elementary report reports the student name, student ID, Parent Name, their response (Yes or No), the date and time they acknowledged the form, student grade, phone numbers for the parents (based on what is in Synergy), and the student’s homeroom teacher’s name. The Secondary reports the same information except for the homeroom teacher’s name. The reports are real-time reports so when the report is run, it is up to date. There is no needing to wait for an overnight process to see parents who have acknowledged the trip the previous day.
IMPORTANT! If a parent has multiple students at the school, even though the field trip is for a particular grade level or group, every student that the parent has attending the school will be listed on the U-STUD60 or U-STUD61 report, even if the field trip does not apply to them. So be aware when looking at the report for students who should not be listed.
Things Schools Need to be Aware of – Only one permission slip can be attached to a field trip setup in ParentVue. This is important to note since some field trips require the parent to answer questions regarding insurance. Also, if a fee is required for the field trip, the message can inform the parent to make sure the student has the money needed (see below for a parent message about a field trip from this past school year). Also, fees for field trips can be set up in MyPaymentsPlus and the message can also direct parents to that site to pay.
